Saving to SharePoint

You can keep Data Collage analyses, SQL files and exports in a SharePoint document library: sync the library to your PC with OneDrive, then point Data Collage at the synced folder. Data Collage reads and writes ordinary files; OneDrive uploads them to SharePoint, and SharePoint provides sharing, permissions and version history.

You need three things; check them once before setting anyone up.

  • OneDrive signed in with your work account. The OneDrive app is built into Windows 10 and 11. Look for the blue cloud icon in the taskbar tray.
  • A SharePoint library the team can edit. For example a “Data Collage” folder in the Finance team site’s Documents library. Everyone who saves analyses needs Edit permission; people who only open them need Read.
  • Sync allowed by your IT policy. Some organisations turn off library sync or restrict it to managed PCs. If the Sync button is missing or greyed out in SharePoint, ask IT to allow it for this site.

A suggested layout inside the library:

Each person does this once on their own PC.

  1. In a browser, open the SharePoint site and go to the library (or the Data Collage folder inside it).
  2. Click Add shortcut to My files (recommended) or Sync in the toolbar.
    • Add shortcut to My files puts the folder inside your own OneDrive and follows you to any PC you sign in on.
    • Sync adds the library as its own entry in File Explorer. Use it if the shortcut option is missing.
  3. If the browser asks to open Microsoft OneDrive, allow it.
  4. Wait for the green tick or cloud icons to appear next to the files in File Explorer.

In File Explorer both show under the OneDrive or company entry in the left pane, which is the easiest way to find the path.

Step 2: Point Data Collage at the synced folder

The one setting that matters is the Analyses folder; SQL files and exports are chosen each time you save.

  1. Open Settings → Folders (see Settings).
  2. Click Browse next to Analyses folder and choose the synced Data Collage\Analyses folder.
  3. Close Settings. The Analyses panel now lists the .dcanalysis files in that folder.
  4. Bring your existing analyses along (optional). Changing the folder does not move files. Copy your .dcanalysis files from the old folder into the synced one in File Explorer.

Leave “Folder for unsaved tabs” on your PC. Data Collage writes every modified tab there when it closes, named DataCollage_<title>_<timestamp>.sql. In a shared library that would fill the team folder with everyone’s scratch files.

SQL files: press Ctrl+Shift+S (Save As), click Browse and pick Data Collage\SQL. Later saves of that tab go to the same file.

Exports: when you export to Excel, CSV, JSON or HDL (see Exports), choose the synced Exports folder in the Save dialog.

Save as usual in Data Collage; OneDrive uploads each change within seconds when you are online.

  • Saving an analysis: use File → Save Analysis as normal. It is written to the synced folder and uploaded.
  • Seeing teammates’ analyses: they appear in the Analyses panel once OneDrive has downloaded them. Click the panel’s refresh button to pick up files added while Data Collage was open.
  • Opening a file from elsewhere: click the folder icon at the top of the Analyses panel, or press Ctrl+O, to open a .dcanalysis file from any folder, including another synced library.
  • Sharing a link: in File Explorer, right-click the file and choose Share or Copy link. The recipient opens the file from their own synced copy.
  • Version history: right-click the file in File Explorer → View online or Version history, or open the library in a browser, click … next to the file → Version history. From there you can view or Restore an earlier version. Reopen it in Data Collage after a restore.

What a shared analysis contains: the SQL, formula columns, column formats, hidden columns, column order and bind defaults (see Saved Analyses). It holds no result rows and no passwords, so each person runs it against their own saved connection and sees only what their Fusion access allows.

The biggest risk is two people saving the same analysis at the same time; there is no locking.

  • Two people editing one file. Data Collage files are not Office documents, so there is no co-authoring. If two people save the same file before OneDrive syncs, OneDrive keeps both: the second appears as a copy with the PC name added, for example GL Balances-LAPTOP-7Q2.dcanalysis. Agree who owns each analysis, or use File → Save as Analysis… under a new name before changing someone else’s.
  • Only the top level of the Analyses folder is listed. The panel does not look into subfolders. Group analyses with the Module field when saving, or give each team its own Analyses folder.
  • Online-only files. OneDrive may keep files as cloud-only placeholders (cloud icon) and download them on first open, which needs a connection. To have the team’s analyses available offline, right-click the Analyses folder → Always keep on this device.
  • Working offline. Saves go to your PC and upload when you reconnect. Teammates see them only after that.
  • Sync status. A green tick means uploaded; blue arrows mean syncing; a red cross means it failed. Check the OneDrive tray icon before telling a teammate a file is ready.
  • Long paths. Keep folder and file names short. Very deep SharePoint folder paths can exceed Windows path limits and fail to sync.
  • Moving or renaming in SharePoint. If someone renames or moves the Analyses folder in the browser, the path on each PC changes and Data Collage shows an empty panel. Update Settings → Folders on each PC.
Problem or questionWhat to do

Can people outside the company use a shared analysis?Only if the SharePoint site is shared with them and they have their own Data Collage connection to the same Fusion pod.
Can I share query history, Library entries or short codes this way?No. They are stored inside the app on each PC. Save the SQL as an analysis or .sql file instead.
Does SharePoint see our Fusion data?Only what you export. Analyses hold SQL and layout, not results; Excel and CSV exports contain whatever data you exported.
